Q1How do orders get into the warehouse log today?
We see in the flow-of-operations doc: wholesale portal → handwritten store log → dispatcher types account numbers into Trip Program. We also understand most orders come in by phone — customer calls, dispatcher writes on note paper, types in later.
APhone vs portal split (e.g., 70/30)
BDoes the portal produce a daily orders export (CSV/email/print)? Can you share a sample?
CFor phone orders — does dispatcher pull up the customer in any other system first?
DRoughly how long does a phone order call take?
Why we're asking: Phase 1 adds a new Order Intake screen for <15-sec phone-order capture. If your portal has a CSV export, we'll add a 1-click import too. Either way, goal is zero handwritten paper on the dispatcher's desk by end of Phase 1.
Q2Pickup routes vs delivery routes
In the 44-route list we noticed Route 107 "New Zealand Pet Food Pick Up" — that's a pickup, not a delivery.
AHow many routes per week are pickups vs deliveries?
BPickup workflow on the tablet — same as deliveries (just labeled "pickup"), or separate flow?
CAnything specific to capture on a pickup (qty received, BOL number, supplier signature)?
Why we're asking: Schema can support either model cleanly, but we need to pick early — adding pickup-specific fields later means re-touching the driver tablet UI.

The May 19 paperwork shows the DVIR was time-stamped 12:49 PM — earlier than we'd expect for a post-trip if drivers return late afternoon.
AOne DVIR per route at end of day, or multiple per truck per day?
BIf multiple per truck: is the Pre-Trip + DVIR pair always 1:1 to one driver, or can the truck pass between drivers in a day?
Why we're asking: Affects whether we track inspections per route (current SOW assumption) or per truck-day. The DOT-audit narrative is cleaner with one model than the other.

The existing Trip Program uses a driver-name dropdown (we saw "Oscar" in the screenshot, no PIN). The May 19 paperwork prints "Driver: Oscar" with no PIN either. The Phase 1 SOW assumed each driver gets a 4-digit PIN.

Why we're asking: Lets us decide whether to surface a coupon-fulfillment workflow in HQ Dashboard or keep it as a driver checkbox.
Q14How often are Tax / Delivery Charge / COD non-zero?
The Delivery Verification screen has fields for Tax, Delivery Charge, and COD $ Collected + Check # — all of which match your May 19 paperwork. But on most stops these probably read $0.00. Want to confirm so we can decide whether to hide them when not applicable (to reduce visual clutter for the driver) vs always show them.
ATax — always shown separately on every invoice (even if $0), or only for taxable customers?
BDelivery Charge — what % of stops have a non-zero delivery charge? Is it always tied to Hand Unload, or independent?
CCOD — what % of stops are COD vs Net-30? Does the customer record set this, or does the driver enter it per stop?
Why we're asking: If Tax / Delivery Charge / COD are always $0 for 95% of customers, we'll auto-hide those blocks unless the customer record has them flagged on. Less visual noise for drivers. The fields stay in the database, just not shown unless relevant.

Q7Frozen product temperature tracking
The Pre-Trip checklist asks "Any frozen returns on the truck — YES/NO." Some customers (commercial daycares, vets) receive frozen raw-meat products.
ARequired by any customer or FSMA Sanitary Transport Rule to log truck temperature?
BIf not required today — on your radar to add (customer ask, insurance ask in the next year)?
Why we're asking: In Phase 1 we can add a quick "Truck Reefer Temp (°F)" field to Pre-Trip + Delivery forms at near-zero cost — driver enters once per frozen run. Covers liability-defense baseline. Bluetooth probe integration is Phase 2/3 for full FSMA-grade chain-of-custody.
5Edge cases from the day-walkthrough
Q9New customer add-account flow
When a brand-new customer (one we've never delivered to) calls in for their first order, what does the dispatcher do today?
AHow often does this happen?
BWhat info gets captured at first call vs later?
CWho creates the account in Trip Program — dispatcher on the call, or AR adds it separately?
DDelay between first call and first delivery?
Why we're asking: If new-account creation happens regularly (1+/week), we'll bake a "Quick Add Customer" flow into the Order Intake screen. If rare, account creation stays on the Drivers/Accounts management screen.
Q10Cancelled orders mid-day
Customer calls at 9 AM, places an order. At 11 AM they call back: "Cancel that — I made a mistake / I don't need it / wrong address."
AHow often does this happen?
BWhat does the dispatcher do today? Strike through the store log? Tell driver verbally? Email?
CIf route is already in progress and product is on the truck — driver returns it, or attempts delivery anyway?
Why we're asking: New system needs a 'cancelled' status on the stop. We can build the workflow either way — your real-world answer determines which model is right.
Q11Multi-driver tablet handoff
Tablets are not 1:1 with drivers in most fleets — usually shared. Want to confirm the right model for this operation.
ATablets stay assigned to drivers (Oscar always uses Tablet #1) — or to trucks (whoever drives Truck #103 uses Tablet #103)?
BDoes a truck ever get reassigned mid-day to a different driver?
CHow many tablets do you plan to buy?
Why we're asking: Affects driver login UX. Tablet-per-driver = simpler. Tablet-per-truck = each tablet has a "Switch Driver" button. Shared pool = login screen is the first thing every morning.
Q12End-of-day cash and check handling
The new system's Driver Day Summary will show "You collected $X across N stops via checks: #4421, #4423, #4429" — but who PHYSICALLY receives the cash/checks from the driver?
AWho do drivers hand the checks to today?
BIs there reconciliation acknowledgment (someone signs they received the checks), or informal?
CUseful to have an in-system "Driver handed off cash to <person> at <time>" record? Or overkill?
Why we're asking: Lets us decide whether to add a small "Cash Handoff" confirmation step at the end of Day Summary.
Q13DOT Hours-of-Service (HOS) exposure
DOT HOS rules: drivers may not exceed 11 hours driving / 14 hours on-duty per day. The 100-mile short-haul exemption removes the daily log requirement but the limit itself still applies. Operation runs interstate routes.
ADo any drivers approach those limits on real days (Madison or Indiana runs 13+ hours)?
BAny drivers subject to ELD requirements, or all under the 100-mile short-haul exemption?
CDo you currently log HOS, or rely on the exemption?
