Can you describe one process you want to improve?

For example, collecting missing application documents or preparing a draft quote.

Do you know how that process performs today?

Use a baseline such as handling time, rework, missed follow-ups or turnaround time.

Are the steps and decision rules documented?

Include who makes decisions and what happens when a case is unusual.

The data and access

Is the information accurate and available in the right systems?

Check required fields, duplicates, documents and which system owns each record.

Are data access and allowed actions clearly defined?

Specify what the workflow can read or change, who approves access and what data must stay out.

Can the systems exchange the information the process needs?

Confirm supported connections, record matching and what happens if an update fails.

Testing and ownership

Is there a person responsible for reviewing sensitive or uncertain outputs?

Identify the reviewer and when the workflow must stop for approval.

Do you have test cases and clear acceptance criteria?

Include ordinary cases, missing information, incorrect outputs and a way to stop or revert changes.

Is someone responsible for the workflow after launch?

Cover training, monitoring, issue handling, documentation and changes.

Have you agreed a small first release and how to measure it?

Set the boundaries, the users involved and the decision that follows the pilot.

How the scoring works

This Growbiz planning framework has ten equally weighted questions. “In place” scores 2 points, “Partly in place” scores 1, and “Not in place” or “Not sure” scores 0. The total is converted to a score out of 100. Uncertain answers are also shown separately.

Access, human review, testing and ongoing ownership are required checks. If any is incomplete or uncertain, the result asks you to resolve those gaps regardless of the total. With those checks in place, scores below 50 point to foundation work, 50–79 to preparing a pilot, and 80–100 to reviewing a pilot.

These are planning thresholds chosen by Growbiz, not research benchmarks. The score does not measure business value or determine whether AI is the right solution. A process change or conventional automation may be a better fit.
